As a Travel Desk Coordinator, you will be responsible for efficiently managing all aspects of travel arrangements for employees within the company. Your primary duties will include booking train, bus, and air tickets, as well as arranging accommodations and transportation such as hotels and cabs. You will play a pivotal role in ensuring smooth and hassle-free travel experiences for all employees.

Responsibilities:

  • Travel Arrangements: Coordinate and book travel arrangements including train, bus, and air tickets for employees based on their travel requirements and preferences.
  • Hotel Accommodations: Research, negotiate, and book hotel accommodations ensuring they align with company policies and budgetary guidelines.
  • Ground Transportation: Arrange for transportation such as cabs or rental cars to ensure timely and convenient travel for employees from airports, train stations, or bus terminals to their destinations.
  • Travel Policy Compliance: Ensure all travel bookings adhere to company travel policies, guidelines, and budgetary constraints.
  • Travel Assistance: Serve as a point of contact for employees regarding travel-related inquiries, changes, or emergencies, providing prompt assistance and solutions as needed.
  • Expense Management: Maintain accurate records of travel expenses, reconcile invoices, and process reimbursement requests in accordance with company policies.
  • Vendor Management: Establish and maintain relationships with travel vendors such as airlines, hotels, agents and cab providers to ensure competitive pricing and excellent service delivery.
  • Previous experience in a similar role preferably in corporate travel management.
  • Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact with employees, vendors, and travel agencies.
  • Proficiency in using travel booking platforms like IRCTC, Cleartrip, Indigo, Goibibo and software for reservations and itinerary management.
  • Attention to detail and accuracy in managing travel logistics and expense reports.
  • Ability to work independently and collaboratively as part of a team to achieve common goals.
  • Flexibility to accommodate occasional after-hours travel bookings or emergency assistance.
